Description

Entry-Level Workshop Clocking System Details

An accurate understanding of time spent on productive work is essential for any business seeking to maximise workshop performance. A ClockRite Basic Workshop Job Clocking System records detailed information through the lifecycle of each job, including time spent by individual staff members and cost centres. Total time spent on any job can then be measured against target time or time invoiced to the customer. Our Job Clocking Systems also offer insight into time spent on non-productive activities, clearly identifying areas of under-utilisation and potential inefficiencies within your processes and workflows. This entry-level system accommodates up to 30 productive employees based in one location. Up to two additional clocking terminals can be added to the system as needed.

How the Workshop Job Clocking System Works

An Entry-Level job clocking system tracks time taken on productive jobs, non-productive tasks, attendance, and overall paid hours. The key metric in an Entry-Level Job Clocking System is utilisation; a measure of the time spent on productive jobs as a proportion of total time attended.

Clocking Methods

Staff record their current job number or activity on the clocking terminal’s built in keypad and confirm their credentials by presenting their assigned badge or keyfob. An additional biometric fingerprint or facial recognition terminal can be integrated for secure attendance clocking, ensuring staff cannot clock each other in or out.

Registration and Recording

Staff can begin recording jobs and activities immediately using their assigned badge or keyfob. In the case of biometric attendance integration, fingerprint or facial registration is extremely quick and easy, taking just ten seconds per staff member.

Data Storage and Download

All job time, activity, and attendance data is stored on the clocking terminal until downloaded into the ClockRite software via local area network or USB. Once downloaded, job information and individual time sheets can be calculated and viewed as detailed reports. All data is then stored securely on your PC or server.

Software

Entry-Level Workshop Job Clocking System Software

Our Entry-Level Job Costing Software tracks time spent on productive jobs and non-productive tasks or activities. Staff do not need to ‘clock-off’ jobs, simply registering their next task or activity instead. In doing so they are automatically removed from their previous job, ensuring all time is accurately tracked and helping to guard against erroneous clockings through human error.

Job Time Recording

The ClockRite software keeps a detailed record throughout the lifecycle of each job. Track who worked on the job; by department, group, or individual staff member. See which cost centres were involved, and to what extent. Know when the work was carried out, and how long it took.

Productive vs Non Productive Time

ClockRite ensures that all time not spent on a productive job or task is quantified and clearly shown as a customisable non-productive activity. This provides a valuable breakdown of productive vs non-productive work, giving you a clear picture of how staff use their time.

Utilisation

ClockRite provides a way to quantify staff utilisation in your workshop, measuring attended hours against productive hours to show how busy (or well utilised) an employee, cost centre, or department is. Displayed as a percentage, utilisation is the perfect place to start when looking to improve workshop profitability.

Comprehensive Job Reporting

Generate detailed, readable reports on every aspect of a job, split by department, group, cost centre, or individual staff member.

Full Time and Attendance Software Module

Our ClockRite Software provides an intuitive and versatile time and attendance solution, making payroll preparation quick and easy. Install to multiple PCs as needed and create tiered user profiles to ensure staff can only access information relevant to their role.

Employee Time Cards

View an at-a-glance summary of attendance clockings, hours worked, and relevant exceptions for all employees. Missing or erroneous clockings are easy to identify and amend, while total hours are intuitively broken down by pay rate.

Multiple Shifts and Overtime Rates

ClockRite supports unlimited shift patterns, including night shifts, and allows for multiple shifts per employee or staff group. Define up to 5 rates of overtime to be applied daily or weekly as needed.

Holidays and Absence

Define multiple absence codes and track leave entitlement with our comprehensive absence module.

Detailed Reports

Generate detailed, readable reports on every aspect of your employees’ time and attendance. Integrate data directly into Sage Line 50 or export to Microsoft Excel for simple transfer into other payroll systems.

FAQs

Are there any monthly fees or ongoing costs?

No, we do not charge monthly fees or subscriptions. Quoted prices assume that you'll be installing the system yourself and include the following:

  • Hardware
  • Software
  • Free delivery (UK mainland)
  • 12 months unlimited UK support

If you'd like to have your system installed by one of our engineers please get in touch for installation prices in your area.

After the first 12 months we'll invite you to renew your support contract with us. This is entirely optional, and you can take out a new support contract with us at any point in the future if you choose not to renew after the first 12 months. We do not charge an ongoing licence fee for the ClockRite software, and you'll still have access to your system regardless of whether or not you choose to renew.

How long is the warranty?

All clocking systems are supplied with a 12 month hardware warranty and 12 months software support. After this period you may choose to renew your support contract with us, thereby extending your system support and hardware warranty for a further 12 months.

Can we control access to the terminal?

All ClockRite terminals feature a top-level administration menu that can only be accessed with a special RFID proximity ‘admin card’. Individual users can also be assigned permissions-based roles, allowing them to perform specified actions depending on their responsibilities.

Can we control access to the software?

The ClockRite Software supports permissions-based login profiles, ensuring users can only access the information they need to carry out their responsibilities. Security is ensured through the use of individual PINs.

Does the clocking machine have a DLST setting?

All clocking machines are supplied with our custom firmware and switches to and from Daylight Saving Time automatically.

Can I export data to my payroll system?

We support direct integration into Sage Payroll. For other payroll programs our main reports export to Microsoft Excel for quick and easy input.

Can we connect a bell to the clocking system?

A bell ringing system can be incorporated into the clocking system as long as the maximum load passing through the clocking machine does not exceed 12V DC / 1A. The terminal does not supply voltage to the bell(s), instead acting as a switch to sound the bell(s) at defined times. Please let us know if you’d like to discuss bell ringing requirements in detail.

How many computers can we install the software on?

Every system allows for software installation on 2 PCs as standard. Additional software seats can be purchased at any time.
(A shared network drive or folder is required for multi-pc installation)

How easy is the job clocking process?

Staff simply present their badge or fob to the clocking terminal and enter the relevant job number or non-productive activity code. Recognition is instantaneous, ensuring smooth operation.

What is utilisation?

A key measure in any workshop, utilisation compares attended hours against productive hours. Utilisation is displayed as a percentage, effectively showing how busy (or well utilised) an employee, department, or cost centre is.

What’s the difference between Entry-Level and Advanced job clocking?

While an entry-level job clocking system tracks time & attendance and staff utilisation, an advanced job clocking system has the added capability to track productivity and efficiency in your workshop as well. Productivity compares sold time against total time attended, while efficiency measures time sold versus productive time taken to complete a given job. Both metrics are extremely useful in increasing workshop profitability. If you'd like to know more about our advanced job clocking system please get in touch for a friendly chat about your requirements.
